Operations Coordinator – US Maintenance Dispatch

About the role

We are seeking an Operations Coordinator to manage U.S.-based commercial maintenance and repair projects from request to completion. The role involves sourcing technicians, negotiating rates, scheduling visits, and ensuring timely project delivery.

Key responsibilities

• Manage maintenance work orders from initiation through documentation, technician payment, and closure.
• Source qualified technicians across the United States for various trades and negotiate competitive rates.
• Provide technicians with detailed work order information, site requirements, timelines, and client expectations.
• Coordinate schedules, site visits, assessments, repairs, follow‑ups, and completion requirements.
• Research technical issues, repair methods, materials, and parts to determine suitable solutions.
• Prepare accurate quotes, scopes of work, repair plans, and pricing proposals for client approval.
• Source and coordinate procurement of required materials, components, equipment, and parts.
• Monitor job progress, deadlines, costs, profitability, technician performance, and risks until resolution.
• Maintain continuous communication with technicians, clients, suppliers, account managers, and internal teams.
• Collect and verify completion documentation such as photos, signatures, invoices, and approvals.

Required profile

• Fluent English communication skills, both written and spoken.
• Strong negotiation abilities to secure competitive pricing.
• Excellent organizational and time‑management skills, handling multiple active work orders daily.
• Ability to multitask, follow up continuously, and remain calm under pressure.
• Analytical and detail‑oriented with quick learning of unfamiliar technical topics.
• Sense of ownership, reliability, and commitment to completing responsibilities.
• Previous experience in operations, coordination, dispatching, customer service, or similar fast‑paced roles.
• Availability for full‑time onsite work in Jdeideh, Beirut and for U.S.-aligned night shifts (approx. 4 PM–1 AM).
