Executive Assistant for Architecture Projects

About the role

The Personal Assistant will support the executive team of an architecture practice, handling both administrative duties and project‑related coordination. The role is remote, based in Beirut, and follows U.S. Eastern Standard Time working hours.

Key responsibilities

• Assist the Project Manager and designers throughout all project phases, organizing drawings, submittals and engineering documents.
• Translate design concepts into structured architectural and contract documents and coordinate information between internal teams and external consultants.
• Conduct basic code research, maintain project files, drawing sets and digital documentation, and perform document reviews for completeness and consistency.
• Track project milestones, deadlines and deliverables; prepare technical reports, letters and presentations.
• Provide calendar management, meeting coordination, and preparation of presentation and report materials for the Principal.
• Handle email correspondence, support proposal preparation and general office administration tasks.
• Maintain strict confidentiality and support day‑to‑day operational workflow.

Required profile

• Prior experience as a Personal or Executive Assistant, preferably in an engineering, architecture or construction environment.
• Familiarity with engineering terminology and document types such as drawings, RFIs and BOQs.
• Strong communication, coordination and problem‑solving abilities.
• Ability to work efficiently in a fast‑paced, remote setting while aligning with EST working hours.
