Event Logistics Coordinator

About the role

KristiesLab is looking for an experienced Event Logistics Coordinator to join its regional creative agency. You will translate approved event plans into detailed logistical requirements and oversee their execution from pre‑production through setup, live event, dismantling and post‑event closeout.

Key responsibilities

• Convert event plans into logistics schedules, site checklists, load‑in and load‑out plans.
• Review venue specifications, floor plans and Bills of Quantities to assess access, storage and setup constraints.
• Coordinate with project managers, event coordinators and production teams to ensure site readiness.
• Manage production suppliers, logistics providers and operational partners, including quotations, bookings and delivery schedules.
• Maintain production schedules, logistics trackers, crew call sheets and timesheets; track costs and support budget reconciliation.
• Oversee warehouse movements, stock records and the dispatch and return of event materials, equipment and POSM.
• Supervise deliveries, loading, setup, supplier arrivals and dismantling, ensuring everything is in the right place at the right time.
• Coordinate post‑event dismantling, equipment returns and follow‑up on outstanding supplier requirements.

Required profile

• Strong operational understanding of the full event lifecycle.
• Highly organised, solution‑oriented and able to work under pressure.
• Excellent communication skills for liaising with suppliers and internal teams.
• Attention to detail and ability to anticipate and resolve logistical challenges.

Required skills

• Experience with logistics planning, supplier coordination and warehouse management.
• Proficiency in creating and maintaining detailed schedules, checklists and cost trackers.
