About the role
The Department Assistant will support the Head of Unit and Unit Coordinator in daily office operations, ensuring the department runs smoothly. This position involves handling administrative tasks, coordinating internal communications, and assisting during meetings.
Key responsibilities
- Provide administrative and coordination support to senior staff.
- Maintain organized files and records.
- Answer phone calls and emails professionally.
- Schedule meetings, take minutes, and prepare related documents.
- Assist team members with routine tasks and coordinate with other departments.
- Prepare reports, presentations, and other documents.
- Order and manage office supplies.
- Monitor staff workload weekly using an Excel template.
- Perform other related duties as assigned.
Required profile
- Strong organizational and time‑management abilities.
- Clear verbal and written communication skills.
- Friendly, proactive, and cooperative attitude.
Required skills
- Proficiency in Microsoft Word.
- Proficiency in Microsoft Excel.
- Proficiency in Microsoft PowerPoint.
- Proficiency in Microsoft Outlook.
