Lead Intake / CRM Manager

About the role

The Lead Intake / CRM Manager will be the first point of contact for all inbound leads, responding within 60 seconds and ensuring a seamless hand‑off to the sales team. This role combines rapid inbound response, lead qualification, appointment setting, and day‑to‑day HubSpot CRM administration.

Key responsibilities

• Answer every new website lead, front‑desk call, voicemail or email within 60 seconds and log the interaction in HubSpot.
• Qualify prospects by gathering project details, budget, timeline and decision‑maker information, then route qualified leads to the appropriate team member.
• Schedule and confirm appointments, send calendar invites, reminders and follow‑up notes.
• Maintain data quality in HubSpot: create and update contacts, companies, deals, pipelines, tasks and activity logs.
• Run outbound cold‑calling and cold‑email campaigns targeting developers, contractors, investors and other strategic partners.

Required profile

• Exceptional spoken and written English with a confident telephone voice.
• Strong listening, questioning and note‑taking abilities.
• Proven experience in appointment setting, inside sales, lead qualification or customer service.
• Ability to work under high‑urgency conditions and meet strict response‑time targets.

Required skills

• HubSpot CRM (or comparable CRM platform) proficiency.
• Experience with cold‑calling and cold‑email outreach.
