Contract Administrator – Maintenance Projects

About the role

The Contract Administrator will oversee subcontractor contracts for maintenance engineering and soft services, ensuring smooth operational coordination and compliance with company procedures. This role involves sourcing subcontractors, managing contract documentation, monitoring performance, and supporting procurement and accounting activities.

Key responsibilities

• Source, evaluate, and negotiate with new subcontractors; prepare comparison sheets for management.
• Prepare, issue, track, and renew contracts, termination notices, and related correspondence.
• Maintain contract checklists, emergency contacts, insurance documents, and certifications.
• Monitor contract maturity dates and coordinate renewal opportunities with Business Development.
• Prepare subcontractor budgets and cost estimates for clients.
• Collect, review, and maintain preventive maintenance and service reports; coordinate corrective actions.
• Verify invoices against contract terms and liaise with Accounting for billing and payments.
• Support Procurement with coordination and administrative tasks.
• Maintain organized filing systems and ensure compliance with quality procedures.
• Assist with yearly subcontractor evaluations, benchmarking, and annual reporting.

Required profile

• Bachelor’s degree in Engineering or a related technical field.
• Excellent negotiation, communication, and organizational abilities.
• Strong analytical and reporting skills.
• Ability to manage multiple tasks and meet deadlines in a fast‑paced environment.
• High attention to detail and strong documentation capabilities.
