Operations Coordinator – US Maintenance & Repair Projects

About the role

We are seeking an Operations Coordinator to oversee commercial maintenance and repair projects across the United States. You will manage each work order from the initial request through completion, ensuring timely, high‑quality service for our clients.

Key responsibilities

• Manage maintenance and repair work orders, including documentation, technician payment, and closure.
• Source and qualify technicians for electrical, plumbing, HVAC, landscaping, and general maintenance trades.
• Negotiate rates, confirm availability, and secure primary and backup service providers.
• Provide technicians with detailed work order information, site requirements, timelines, and client expectations.
• Coordinate schedules, site visits, assessments, repairs, follow‑ups, and final delivery.
• Research unfamiliar technical issues, repair methods, materials, and parts to develop suitable solutions.
• Prepare accurate quotes, scopes of work, pricing proposals, and supporting documentation for client approval.
• Monitor job progress, costs, profitability, technician performance, and risks until resolution.
• Maintain continuous communication with technicians, clients, suppliers, account managers, and internal teams.
• Collect and verify completion documentation such as photos, signatures, invoices, and approvals.

Required profile

• Fluent English communication skills, both written and spoken.
• Strong verbal communication and confidence when speaking with U.S.‑based technicians.
• Excellent organization, negotiation, problem‑solving, and ability to work under pressure.
