Maintenance Coordinator (US Projects)

About the role

We are seeking a Maintenance Coordinator to oversee U.S.-based commercial maintenance and repair projects from the initial request through successful completion. The role is based onsite in Jdeideh, Beirut and operates on U.S. night‑shift hours, requiring close coordination with technicians, vendors and clients across the United States.

Key responsibilities

• Manage work orders from request to closure, including documentation, technician payment and final reporting.
• Source and qualify electricians, plumbers, HVAC, landscaping and other trade professionals nationwide, negotiate rates and secure primary and backup providers.
• Provide technicians with detailed job briefs, site requirements, timelines and client expectations before dispatch.
• Coordinate schedules, site visits, assessments, repairs and follow‑ups, while monitoring progress, costs, profitability and risk.
• Research unfamiliar technical issues, prepare accurate quotes, scopes of work and pricing proposals for client approval.
• Procure necessary parts, equipment and materials, and ensure all completion documentation (photos, signatures, invoices) is collected and verified.
• Maintain up‑to‑date records in company systems and communicate continuously with technicians, clients, suppliers and internal teams.

Required profile

• Fluent written and spoken English with strong verbal communication skills.
• Proven negotiation ability to secure competitive pricing and service expectations.
• Excellent organizational, time‑management and multitasking capabilities, handling multiple active work orders daily.
• Analytical and detail‑oriented mindset with the capacity to research technical topics quickly.
• Resilient, adaptable and able to perform under high‑pressure, high‑volume conditions.
• Previous experience in operations, coordination, dispatching, customer service or facilities management preferred.
• Availability for full‑time night‑shift work (approximately 4 PM – 1 AM US time) and onsite presence in Jdeideh, Beirut.
