Operations Administrator – US Maintenance Projects

About the role

We are seeking an Operations Administrator to oversee commercial maintenance and repair projects across the United States, from the initial request to successful completion. The role demands strong organization, communication, and the ability to manage multiple work orders in a fast‑paced environment.

Key responsibilities

• Manage maintenance and repair work orders through documentation, technician payment, and closure.
• Source qualified technicians for electrical, plumbing, HVAC, landscaping, and general maintenance trades.
• Negotiate rates, confirm availability, and secure primary and backup service providers.
• Provide technicians with detailed work order information, site requirements, timelines, and client expectations.
• Coordinate schedules, site visits, assessments, repairs, follow‑ups, and final completion requirements.
• Research unfamiliar technical issues, prepare accurate quotes, scopes of work, and pricing proposals.
• Source and procure necessary materials, components, and equipment.
• Monitor job progress, costs, profitability, technician performance, and risks until resolution.
• Maintain continuous communication with technicians, clients, suppliers, account managers, and internal teams.
• Collect and verify completion documentation, including photos, signatures, invoices, and approvals.

Required profile

• Fluent English communication skills, both written and spoken.
• Excellent verbal communication and confidence speaking with U.S.-based technicians.
• Strong negotiation, problem‑solving, and prioritization abilities.
• Ability to remain effective under pressure and manage multiple urgent requests.
