Assistant to WHO Representative

About the role
The Assistant to the WHO Representative provides high‑level administrative support to ensure smooth operation of the WHO country office. The role involves managing schedules, handling correspondence, and coordinating meetings with senior officials and external partners.
Key responsibilities
- Maintain the Representative’s calendar, arrange appointments, and coordinate internal and external meetings, including with high‑ranking officials.
- Screen, route, and draft routine correspondence; compile briefing materials, abstracts, and reports.
- Organise travel logistics: raise travel requests in the Global Management System, obtain visas, book hotels, and secure travel clearances.
- Maintain and update residency permits, UN Laissez‑Passer, and other personal documents.
- Manage the Representative’s library, contact lists, technical records, and confidential files in both paper and electronic formats.
- Provide informal translation, take meeting notes, and follow up on action items.
- Assist with social media updates for the WHO Lebanon office and support administrative matters as needed.
Required profile
- Completion of secondary school with secretarial and computer training; a university degree in business administration or social sciences is an asset.
- At least eight years of relevant administrative or executive assistance experience.
Required skills
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint).
- Strong computer literacy and ability to manage electronic filing systems.
