Facilities Administration Officer

About the role

The Facilities Administration Officer serves as the central coordination hub for the Office of Facilities Management, ensuring smooth operations across campus facilities through effective CAFM workflow control, asset and inventory oversight, vendor management, and performance reporting.

Key responsibilities

• Manage facilities requests in the CAFM system, ensuring proper assignment, follow‑up, and closure.
• Supervise CAFM operations, including ticket classification, prioritisation, SLA tracking and data accuracy.
• Coordinate with Facilities units to maintain service continuity and resolve operational issues.
• Maintain centralized asset and inventory tracking systems, monitor movements and resolve discrepancies.
• Oversee vendor performance, SLA compliance, service coordination and invoice validation.
• Prepare operational reports and KPI dashboards, analyse trends and support performance monitoring.
• Ensure proper documentation of work orders, contracts and service records, maintaining an audit‑ready filing system.
• Supervise venue booking, space allocation and event readiness, aligning logistics and safety.
• Support emergency coordination, tracking and follow‑up of emergency‑related requests.

Required profile

• Bachelor’s degree in Business Administration, MIS or Management.
• 4–6 years of experience in facilities, operations or coordination roles.
• Experience with CAFM or similar systems (highly preferred).
• Preferably experienced in a university or large institutional setting.
• Proficiency in data reporting tools and KPI dashboard preparation.
• Familiarity with procurement, vendor management or asset tracking systems.
